Block Downloads For View-only Files In SharePoint And OneDrive

When you share items with others in OneDrive or SharePoint, you can give them access to view, but not download. Block download is available for view-only sharing links to Office documents and other file types, such as PDFs, images, audio, and other non-text and non-video file formats.

When you select Block download, people who access the file you shared won't see options to download, print, or copy the file. They can only view the files on the web, and won't be able to open them in desktop or mobile apps.

Notes: 

  • This feature is available for OneDrive for work or school and may be turned off for your account. If you don't see the option, please contact your admin.

  • Support for blocking video and audio downloads is available for all supported file types listed here: Learn more about the audio and video formats that are supported in OneDrive.

  • If you're the Microsoft 365 admin in your organization, you can control whether Block download appears only for Office files or other supported files by changing the BlockDownloadLinksFileType setting in the Set-SPOTenant or Set-SPOSite PowerShell cmdlets (ServerRendered (Office Only) and WebPreviewable (All supported files).

  1. Find the file you want to share in OneDrive or SharePoint, and select the circle in the upper corner. 

  2. Select Share at the top of the page.

  3. Select Anyone with the link can edit to open Link settings. 

  4. Uncheck Allow editing, and then turn on Block download.

  5. Add your message and send the invite. 

Recipients will see a message indicating they can view, but not download the file.
