Microsoft Visio gives you the power to chart nearly anything that involves a hierarchy or workflow with a variety of shapes and illustrations. In addition, you can also import text-based organization charts from an Excel or other spreadsheet. Visio uses this data to create a flowchart representing the data. Before you import a spreadsheet, make sure it's clearly organized with job titles starting from the top position in the organization down to the lowest position in the organization.

  1. Open Visio.
  2. Click "File" and "New" to create a new, blank chart.
  3. Click "View," "Add-Ons," "Business" and "Organization Chart Wizard" from the main menu. This opens the Organization Chart Wizard.
  4. Mark the "Information that's already stored in a file or database" option and click "Next."
  5. Click the "A text, Org Plus (.txt), or Excel file" option and click "Next."
  6. Click "Browse" and locate the spreadsheet containing the organization chart. Click a language from the Specify Language drop-down and click "Next."
  7. Select all the field names in the Data File Columns field and click the "Add" button to move the fields to the Displayed Fields column. The Displayed Fields column shows the order data will appear in each square in the chart. Click a field and the up or down buttons to move the field up or down in the list. Click "Next."
  8. Select all the items in the Data File Columns field and click "Add" to move them to the Shape Data Fields column. Click "Next."
  9. Mark whether you want to control how much data appears on each page or if you want Visio to automatically break the chart across different pages.
  10. Enter the name that you want in the top of the chart in the Name at Top of Page field.
  11. Mark whether you want to hyperlink employee shapes across pages or synchronize employee shapes across pages.
  12. Click "Finish" to import and create your organizational chart.
